How to Split/Merge .PDF Files Using PDF Xchange Tool 4.0

 

 

Introduction:

Portable Document Format (or pdf in short) in almost all types of organization as an open standard to exchange documentation between people ('About Adobe PDF', 2015).  Reason being pdf files are reliable, trusted, can be read in different multiplatforms (windows, mac, mobile Android, etc.), and everything is preserved without risk of anyone editing your file.  That being said, it is very difficult to edit pdf files for organizational purposes.  And this is a problem.  For example, if you are improving your documents by rearranging in some particular order which makes sense to another reader you may find yourself stuck.

 

There are many ways to rearrange pdf documents.  First, one can manually rearrange the documents by printing them, reorganizing the papers, then rescan them into the computer as another pdf documents.  Problem with this is that it takes too much time.  Also, it wastes so much unnecessary materials (ie papers) before throwing them away.  Another way to arrange pdf document is through Word Document.  Word Document can convert .pdf to .docx files; however, there are times which graphic images will not convert correctly.  Graphic materials could fade in color, shrink in size, and/or duplicated.  This takes time trying to fix the issue as well as arranging them.  Finally, one can upload their files to a website and split/merge there.  Problem with this technique is that hackers can gain personal information from those documents.

 

PDF-Xchange Tool 4.0 program does the opposite.  One is not required to upload any files on the web server.  And the rearrangement is done internally within the program; thus, there will be no wasting of paper materials.  This instructional guide will assist you, the readers, in successfully split/merge different .pdf documents.          

 

 

Preparation:

Downloading PDF-Xchange Tool 4.0 is necessary.  Download the file through this site http://pdf-tools.en.softonic.com/download then extract the zip folder.  You then go through the install process. 

 

 

Practice Materials:

Here are a two documents you can use if you want to following along for hands on practice:

Doc 1.pdf

Doc 2.pdf

Test Run 1.pdf (for splitting) 

 

These documents contain numbers from 1 - 10 on each page.  Problem is numbers are scrambled and two different pdf documents are given.

Doc 1.pdf has the following numbers in this order: 1 2 4 5 8 6 3

Doc 2.pdf has the following numbers in this order: 7 10 9 

 

 

Method 1: Merging:

The purpose here to merge both .pdf files into one document in chronological order.  That is 1, 2, 3, 4, 5, 6, 7, 8, 9, 10.

 

     Step 1:

 

     

 

     Open PDF-Xchange Tools 4.0 Program

 

          The program is under PDF-Xchange folder.

 

 

     Step 2:

 

      

 

     Select Split/Merge then hit Start

 

          This allows you to split a single .pdf document into multiple .pdf files, merge multiple .pdf files into a single .pdf files, or a combination of the two.  You could also delete pages as well.  But for this purpose of this part of this instructional guide we are focusing on merging two files into one .pdf document.

 

 

     Step 3:  

 

     

 

     Place the .pdf files you want into the documents selection list then select Next

  

          You can do this by either copy and paste the items; click, hold, and drag the items into the program; or the add button on the bottom to browse your computer for the files.  A preview document section is on the right; so, you can see if you selected the right documents.

 

 

     Step 4:

 

     

 

     Under "Please Specify the Grouping Action required for the Pages created", check the box that says 'Custom Page Grouping' then select Next

  

     This allows you to rearrange the documents anyway you want.

 

 

     Step 5:

     After 

      

 

     Sort the pages then select proceed

  

    • The top number (above the paper) represents the chronological order of how many pages will there be in the merged document.

    • The middle # number represents which document each page came from originally.

    • The bottom number (in magenta color) represents on what page each document came from orginally.  

 

          Recall, how the documents were ordered orginally. The after image is the exact order and representation in order to have the numbers go in order chronologically.  Remember, we are merging documents into one; thus, the second document should disappear.

 

   

     Step 6:

 

     

 

     Select the pdf specification and other options which best suits your needs then select Next

 

          You can also add in information (such as title, author, subject, etc.), select whether you want to have this .pdf signed, add watermarks, change the page layout, etc.

 

 

      Step 7:

 

     

 

     Get destination folder and add in a file name to the new .pdf document then hit Process

 

           When adding a name to the file, you can use Macros which contain many sets of naming convention. Check (if you wish) the box which says 'View each Document after creation' so the .pdf document will automatically open for you after it is created.

 

 

        Step 8:

 

 

      

     Wait

 

          Takes awhile depending on the size of the .pdf document (the number of pages) you are creating.

 

 

      Step 9:

 

     

 

          Check the final product

 

          Double click the item(s) in the list, if "View each Document after creation" (Step 7) from previous page is unchecked. If the documents are exactly as how you want then hit finish, else click on previous until you are at Step 5 (Edit documents list) then rearrange again and follow Steps 6-9. If perfect, click on Finish.

          Test Run 1.pdf

 

 

Method 2: Splitting:

The purpose here is to split file(s) into many .pdf documents. For our practice purposes, you will use your document version of Test Run 1.pdf or the one already created (see above). You will split the file separating the even numbers from the odd numbers into two separate .pdf documents. That is... one document contains the numbers: 1, 3, 5, 7, 9, while the other contains the numbers: 2, 4, 6, 8, 10.

 

    Step 1:

 

     

 

     Open PDF-Xchange Tools 4.0 Program

 

           Open the program if not already.

 

 

      Step 2:

 

     

 

     Select Split/Merge then hit Start

 

 

      Step 3:

 

     

 

      Place the .pdf file(s) you want into the documents selection list then select Next

 

          Again, Test Run 1 (or your version of Test Run 1) is being utliized for practice purposes

 

 

     Step 4:

 

     

 

      Under "Please Specify the Grouping Action required for the Pages created", check the box that says 'Custom Page Grouping' then select Next

 

          This allows you to rearrange the documents anyway you want.

 

 

     Step 5:

 

     Before

     

 

     After

     

 

     Sort the pages then hit Proceed

 

          Drag any document out of the first file and new documents will pop up.

 

 

     Step 6:

 

     

 

     Select the pdf specification and other options which best suits your needs then select Next 

           

          Again, you can also add in information (such as title, author, subject, etc.), select whether you want to have this .pdf signed, add watermarks, change the page layout, etc.    

 

 

     Step 7:

 

     

 

     Get destination folder and add in a file name to the new .pdf document then hit Process        

 

          Use Macros <Auto Number> to separate the pdf documents from having the same name 

 

 

     Step 8:

 

 

 

     Wait

 

          Takes awhile depending on the size of the .pdf document (the number of pages) you are creating

 

       

      Step 9:

 

   

 

     Check the final product

 

 

          Double click the item(s) in the list, if "View each Document after creation" (Step 7) from previous page is unchecked. If the documents are exactly as how you want then hit finish, else click on previous until you are at Step 5 (Edit documents list) then rearrange again and follow Steps 6-9. If perfect, click on Finish  Rename if you wish.
